The reality: the guest writes at 10 p.m.
It is 10 p.m. and a message comes in: “Hi, do you have a room for two on Saturday? How much is it?” At a small hotel in Guatemala or anywhere in the region, the one who answers is often a single person, on a phone, between a check-in and dinner.
Meanwhile, the same room is usually on sale at the OTAs (online travel agencies), which confirm instantly, at any hour. If you answer the next morning, that guest may already have booked elsewhere, and if it was through an OTA, your hotel pays a commission.
Automating WhatsApp bookings does not take the phone from your team: every question gets the real price, day or night, and your team keeps what needs a person.
What a direct booking is worth
OTA commissions typically run from 15% to 30% or more of each booking, depending on the platform, the market and what you negotiated. On Booking.com, for example, the commission is your contract's percentage of the price of every night, and it is also charged on cancellations and no-shows you charged for.
An example with round numbers: at a 15% commission, a stay of Q2,000 (in quetzales) costs you Q300. Booked on WhatsApp, the same stay pays no OTA commission: only your payment provider's fee and whatever your system costs.
Guests who find you on Instagram, on Google or through a friend write to you directly. Answering them fast, with the real price and a way to pay, is how you keep that booking.
Four levels of WhatsApp booking automation
Not every hotel needs the top level on day one; what matters is knowing what each one solves.
| Level | What it does | Where it stops |
|---|---|---|
| 0 · The app, by hand | Saved quick replies and a catalog of your rooms, in the WhatsApp Business app, which is free. | Everything depends on someone watching the phone. |
| 1 · Automatic messages | A greeting when someone starts writing to you, and an away message when you cannot answer. | It lets the guest know, but it neither answers the question nor books. |
| 2 · A chatbot with buttons | Menus and buttons on the WhatsApp Business Platform: it answers fixed questions and asks for the dates step by step. | Reply buttons are three at most per message; a free-form question, a voice note or another language throws it off. |
| 3 · An AI connected to your PMS | It understands what the guest writes or says, in their language; it quotes real availability and rates, holds the room, sends the payment link and writes the booking into the PMS. | It needs your money rules in writing and a good handoff to a person. |
Levels 0 and 1 cost nothing and are worth having today: quick replies with your address, hours and cancellation policy, and an away message that says when you will answer. More on each level in the WhatsApp automation guide.
For levels 2 and 3, ask first whether you keep your number and your app: Meta now lets a business use the WhatsApp Business app and the platform on the same number. It is called coexistence; we explain it in the guide to keeping your WhatsApp.
A WhatsApp booking, message by message
This is a well-made booking. Use it to judge any system, or your team's own way of doing it.
- The guest asks. “Do you have a room for two from 14 to 16 November?” If a detail is missing, only that is asked.
- A live quote. The PMS is checked right then: the rooms free those nights and the total, with any discount in force. Never a price from memory.
- The guest chooses. The booking is read back (name, dates, room and total), and nothing happens before a clear yes.
- The booking goes into the PMS. In the guest's name and waiting for payment, so nobody else sells that room.
- The payment link. In the same chat, for the deposit or the total as your rule says, with the time to pay.
- The payment lands on the booking. The payment provider confirms it, it is recorded in the PMS and the guest gets a confirmation.
- If the guest does not pay in time. A reminder and, when the time runs out, a person decides. Before the room is released, the PMS is checked: if someone confirmed the booking or recorded a payment, it is left alone.
- Anything that is not a booking. A complaint, a special request or a refund goes to your team in the same chat, with no “transferring you” message.
Deposits and payment links in Central America
Before you automate, write your money rule in one line: how much is paid to confirm, how long you hold the room unpaid and what is paid on arrival. For example: “50% to confirm, 24 hours to pay, the rest at the property.”
A payment link is a page from your payment provider with the amount filled in: the guest opens it from the chat, pays by card in their browser, and the provider tells you when it is paid.
Check which ways to pay your provider accepts. In Guatemala, for example, Recurrente takes Visa and Mastercard credit and debit cards from Guatemala or any country, payments in 3, 6, 12 or 18 installments, and ACH transfers in Guatemala.
If you accept transfers to your bank account, a photo of a receipt is not money in the bank: confirm the deposit before you treat the booking as paid, and expect the same of any system that reads receipts.
What to demand from any system
Before you choose any provider, check this:
- Your number and your app. It answers on the number your guests already know, without giving up the WhatsApp Business app or your history.
- Bookings in your PMS. Live availability and rates, and the booking written into your PMS, not into a spreadsheet or an e-mail to copy by hand.
- Your money rules. You decide who collects, what is paid before arrival and what happens when the time to pay runs out.
- A handoff the guest does not notice. No “transferring you to an agent”: your team carries on in the same chat, with a brief.
- A price you can predict. Per room, a commission per booking or a flat price? Who pays Meta? Since 1 October 2026, Meta also charges per message for replies on the platform, after 1,000 free a month per number. See what it really costs.
- The way out. Month to month, no lock-in, and your number stays yours if you leave.
Common failures and how to test for them
They can show up in any system, and most can be tested in a demo, before you pay.
- It answers over you. You reply from the phone and the system replies too. Test it: answer a chat and see whether the system stays quiet there until you hand it back.
- It answers in the wrong language. The guest writes in English and gets Spanish, or the language switches halfway through the chat. Test it with two languages and a voice note: a good system follows the guest's language.
- It cancels a guest who already paid. A timer releases the room when the time runs out, even though the guest paid by transfer or your team confirmed by hand. Ask what happens then: a good system reads the PMS just before, leaves alone what a person did and, if it cannot read it, writes nothing.
- It makes things up. A price that is not in your PMS, or a policy nobody wrote. Ask it something your information does not cover: a good system passes it to a person instead of guessing.
Questions
Can I automate WhatsApp bookings without changing my number?
Yes, with Meta's coexistence a system can answer on your existing number while you keep using the WhatsApp Business app.
Does a WhatsApp booking pay a commission?
It pays no OTA commission, only what your payment provider charges and what your system costs.
What happens if the guest does not pay the link in time?
That depends on your rule, but the safest is that a person on your team decides, and that a booking someone confirmed or paid is never cancelled.
Can an AI answer my guests automatically in their own language?
Yes, a well-built AI answers in the language each guest writes in, not only Spanish and English.
Do I need a PMS to take bookings on WhatsApp?
To quote real availability and write the booking on its own, yes; without a PMS, a system can answer and pass the request to your team.
