The short answer
A WhatsApp AI assistant for a small hotel has four costs. Usually only the first one is on the vendor's price page, and the other three are where the surprises come from.
- The software subscription: what the vendor charges every month.
- Meta's message fees: what WhatsApp charges for the messages your hotel sends. Since October 1, 2026, that includes your replies to guests.
- The payment gateway's cut: the fee on every deposit a guest pays by card.
- Your team's time: every chat a person still answers by hand.
The software subscription
This is the number you compare between vendors, and it is rarely the whole price. Read what it includes: how many WhatsApp numbers and channels, whether bookings are written into your PMS, whether Meta's fees are inside it or billed apart, whether a setup fee comes first, and whether tax is on top. Software bought from a company abroad can also carry tax your hotel has to declare or withhold; your accountant can tell you which.
Look at how the price moves, too. A flat monthly price per property is the same in high season and in low season. A price per room, per conversation or per booking grows with your property or with your best months.
Meta's message fees: what changed on October 1, 2026
An AI assistant from a software vendor answers through Meta's WhatsApp Business Platform, often called the WhatsApp Business API, and Meta charges for it per message. If you read that WhatsApp replies are free, that was true until September 30, 2026. This is what Meta's pricing page and its rate card said on 28 October 2026:
- Meta charges only for messages your business sends, and only when they are delivered. What guests send you is never charged.
- Replies are charged again. Each time a guest writes, a 24-hour window opens, and your replies inside it are what Meta calls service messages. They were free from November 2024; since October 1, 2026, Meta charges for them after a free tier.
- The free tier is 1,000 replies per WhatsApp number per month. Unused replies do not carry over, and Meta charges from the 1,001st.
- Templates, the approved messages you need to write first or to write after the 24-hour window closes, are charged from the first one: marketing (offers), utility (a booking confirmation, a reminder) and authentication (codes). A utility template sent inside the window was free until September 30, 2026; now it is charged too.
- The rate follows the guest's phone number, not your hotel's country. A guest with a Guatemalan +502 number is charged at the Rest of Latin America rate; a guest with a US number, at the North America rate.
- If the Meta account behind your number has no payment method, Meta delivers the 1,000 free replies and stops delivering replies after that.
- Messages your team sends from the WhatsApp Business app stay free, even when the same number is also connected to the API (see keeping your number and your app).
- Meta may change its rates only on January 1, April 1, July 1 and October 1, with at least one month's notice.
Meta's list rates in US dollars per delivered message, effective October 1, 2026, as read on 28 October 2026; check Meta's rate card before you rely on a figure. Volume discounts exist only for utility and authentication templates, and start far above a small hotel's volume: after 100,000 utility templates a month in Rest of Latin America.
| Guest's phone number | Reply to a guest, after the free 1,000 | Utility template | Marketing template |
|---|---|---|---|
| Rest of Latin America (Guatemala, El Salvador, Honduras, Nicaragua, Costa Rica, Panama and others) | US$0.0113 | US$0.0113 | US$0.074 |
| North America (United States, Canada) | US$0.0034 | US$0.0034 | US$0.025 |
| Mexico | US$0.0085 | US$0.0085 | US$0.0397 |
| Spain | US$0.02 | US$0.02 | US$0.0707 |
| France | US$0.03 | US$0.03 | US$0.0859 |
| Germany | US$0.055 | US$0.055 | US$0.1365 |
| United Kingdom | US$0.022 | US$0.022 | US$0.0635 |
For a small hotel these are small sums. What matters more is who pays them, and that your replies keep being delivered after the 1,000th.
The payment gateway's cut
When the assistant sends a payment link and a guest pays a deposit by card, the gateway takes a fee. That fee is there whether a person or an AI sends the link. The question for a vendor is whether it adds its own cut on top.
In Guatemala, on 28 October 2026, Recurrente's public pricing page listed 4.5% + Q2 per successful online card payment for business accounts (5.25% + Q2 for personal accounts), no monthly fee, no setup cost, and bank transfers in Guatemala free. On a Q1,000 deposit by card, that is Q47 in fees, before any tax. The calculator on the same page shows what you receive after fees and taxes.
Your team's time
This cost never arrives as an invoice. It is the 11 p.m. “do you have a room for Friday?”, checking the PMS, typing the rate, sending the link and checking that the transfer landed, again and again. The WhatsApp Business app on its own costs nothing; this is what it costs instead.
An AI assistant takes most of this work, not all of it. A complaint, a special request or a refund should reach a person, and a good assistant hands those chats to your team quietly instead of guessing.
To put a number on it, count one ordinary week: how many guest messages arrive, how many after hours, and how long one booking takes by hand, from the first question to the paid deposit. Multiply the hours by what you pay for them. That is the figure to set against any monthly price.
Pricing models in the market, and where they bite
Vendors of hotel chatbots price in a handful of ways. None is wrong in itself, but each one moves your bill in its own direction:
- Per room, per month. Easy to read on a price page; it grows with every room you add and does not drop in low season.
- A success fee on bookings. A share of each booking the AI closes, on top of a monthly fee or instead of one. Your best months cost the most, so ask how a booking is counted as the AI's.
- Usage bundles. A set number of conversations or AI replies a month, and a charge for every one above it.
- Long contracts. Some vendors ask for twelve months, renewing on their own unless you cancel in time.
- Setup fees. A one-time charge before the first guest is answered.
- Meta's fees on top. The price leaves Meta out: you add your own card to Meta, or prepay a balance through the vendor, sometimes with a margin.
- A flat monthly price per property. One figure that stays the same whatever the season or the number of bookings.
Questions to ask any vendor before you sign
- Who pays Meta, and whose card is on the Meta account?
- Are Meta's fees passed on at cost, with a margin, or included in your price?
- Do I keep my WhatsApp number and my WhatsApp Business app, with my chat history?
- What happens to my number and my chats if I leave?
- How long is the contract, and how does it renew?
- Is there a setup fee?
- Do you take a share of bookings, and how do you decide a booking was yours?
- Is the booking written into my PMS, and does the guest pay into my own account?
- When the AI cannot help, who picks up the chat, and does the guest notice?
Ask for the answers in writing. They belong in the contract.
